A lot of people get confused when it comes to connecting Dynamics 365 CRM to email: should I use Outlook or Gmail? 📧
Simply put: it depends on what the company is already using.
📩 If your company runs on Microsoft 365, the best choice is Outlook Integration. This gives you: sending and receiving emails from inside CRM, Calendar sync, Contacts sync, Tasks sync, and all of this happens automatically through Server-Side Synchronization.
Steps to enable it: open Email Configuration, go to Mailboxes, click Approve Email, then run Test & Enable Mailbox. If the test succeeds, the Mailbox is ready to use. 🚀
📧 So what if your company uses Google Workspace or Gmail? You can still connect it to Dynamics 365 CRM, but it will usually need OAuth 2.0 settings to keep the connection secure.
🆚 Outlook or Gmail?
🖥️ Outlook: easier to set up, fully supported by Microsoft, complete sync for emails, Calendar, Contacts, and Tasks.
📧 Gmail: also supported, but needs extra settings like OAuth 2.0, so setup takes a bit longer.
