If You Have 100 Users on Dynamics 365 CRM, How Do You Organize Their Permissions Neatly Without Assigning Permissions to Every User Individually?

The answer is: Business Units 🏢

In Dynamics 365 CRM, the Business Unit is the organizational structure that helps you split users and data across the different departments, branches, or divisions within the company.

🏢 What is a Business Unit? It’s a way of organizing users inside CRM so that each group of Users belongs to a specific department or division, which helps manage permissions and data access more effectively.

📂 Why do we use Business Units? ✅ Organizing users inside CRM. ✅ Separating data between different departments. ✅ Making the Security Model easier to manage. ✅ Giving more precise control over data access.

🌳 The Structure of Business Units: 🔹 Root Business Unit (the main, top-level one in the Environment). 🔹 Child Business Units (sub-units under the root unit). 🔹 Every User must belong to exactly one Business Unit.

  • 💡 Important note: the Business Unit itself doesn’t grant permissions — permissions themselves are defined through Security Roles.
